Set Up Low-Stock Alerts
Configure minimum stock thresholds for your products so you receive timely notifications before you run out of fast-moving inventory.
Step-by-step guide

Open the product you want to configure
Go to Inventory > Items and tap on the product name to open its detail page. You can set individual reorder thresholds for each item based on how quickly it sells and how long it takes your supplier to deliver.

Enter the minimum stock threshold
In the product edit form, find the "Low Stock Alert" field and enter the minimum quantity. When the stock level falls to or below this number, Khata Tracker will trigger a notification. A good rule of thumb is 1.5 times your average weekly sales.

Monitor low-stock items
Khata Tracker can help you identify low-stock items from the Low stock report. In Reports, select the Inventory category and open the Low stock report to see all items currently at or below their configured threshold. If notifications are enabled in your app version, alerts may also appear based on your device settings.

Review the Low stock report
The Low stock report in Reports > Inventory category shows all items currently at or below their threshold in a single list. Each row shows the current quantity and the threshold so you can quickly identify what needs restocking.

Create a purchase order for low-stock items
To reorder low-stock items, go to Purchases > Purchase Order and create a new purchase order manually for the items identified in the Low stock report. Select the supplier, add the items and quantities needed, and share the purchase order via email or WhatsApp.

- Review and update thresholds seasonally — products that sell fast during festivals need higher reorder points during those months.
- Set the reorder quantity to match your supplier's minimum order quantity to avoid partial shipments.
