Process Returns & Refunds at POS

Handle customer returns smoothly at the counter — reverse the sale, update stock, and process cash or credit refunds without disrupting your records.

Step-by-step guide

    Find the original POS bill

    In the POS screen, tap the receipt icon or go to POS > Bills. Search by the bill number, customer name, or date. Locate the original sale and tap it to open the full bill detail. You can also scan the receipt barcode if available.

    Initiate a return on the bill

    Tap the "Return" or "Create Return" button on the bill detail screen. A return form opens with all items from the original bill listed. You can process a full return or select specific items and quantities to return partially.

    Select items and quantities being returned

    Check the items the customer is returning and enter the exact quantity for each. The return amount including taxes is calculated automatically. Add a return reason — wrong item, defective product, or customer changed mind.

    Choose the refund method

    Select how to refund the customer — cash refund from the register, credit to their account, or an exchange for other items. If the original payment was by card or UPI, note the refund reference for your records.

    Confirm the return and update stock

    Tap "Confirm Return". The returned quantities are added back to stock automatically, the customer's ledger is updated, and a return receipt is generated. The original bill is marked as "Partially Returned" or "Fully Returned".

Pro Tips

  • Set a return policy window (e.g., 7 days) in POS Settings — the system will alert you if a return is attempted outside this window.
  • For exchanges, use the return + new sale flow rather than editing the original bill, to keep records clean.
  • Returns affect your daily POS summary — review the "Returns" column in the end-of-day report to track return rates.
